Hunter's Garden Marlborough will not refund or exchange any ticket price or service fee except as required by New Zealand law. It is important that you check your tickets (days, dates and times) before proceeding to to either the checkout (on the website) or leaving the booking office with your purchases. Ticket purchase mistakes will not be refunded. Hunter's Garden Marlborough Garden Fete Terms & Conditions and Information for Site Applicants Blenheim’s Seymour Square is the model venue for a Garden Fete; superbly planted and diligently maintained by Marlborough District Council gardeners. Garden lovers from far and wide have admired this garden square in the centre of Marlborough’s largest town. Hunter's Garden Marlborough committee would appreciate it if all stallholders taking part in the Garden Fete made a special effort to leave Seymour Square in the same superb condition it was when Council ‘loaned’ it to us for the day. We thank you now in anticipation of your cooperation. Promotion: Our Garden Fete is the essential finale of every Hunter's Garden Marlborough festival; the day when the whole family enjoys our annual celebration of gardening. Efforts to promote this day are extensive and include local newspapers – THE MARLBOROUGH EXPRESS and THE SATURDAY EXPRESS – together with THE BREEZE and SOUNDS FM radio stations. Advertisements are placed in home and gardening publications throughout New Zealand. If you wish to introduce your product to the gardeners of New Zealand there are few better, opportunities to do so … visitors to Hunter's Garden Marlborough come from within Marlborough other regions of New Zealand, and overseas. There will be live-to-air coverage of the fete on Sounds FM & The Breeze radio. THE MARLBOROUGH EXPRESS will publish a 32 page Hunter's Garden Marlborough supplement late in October and we recommend stallholders take advantage of this opportunity to advertise their presence at the Garden Fete. As well as being inserted into every copy of The MARLBOROUGH EXPRESS on the day of publication, a copy of this supplement is included in the Registration Pack we give to everyone who registers at the Hunter's Garden Marlborough Event Headquarters. Best Site Prize: To encourage stallholders to take extra effort in presenting their site in the best possible manner, we will be offering a prize for the “Best Presented Site”. Use your imagination to ‘dress’ your site and you’ll attract more customers and you could be a winner! Site Approval: All applicants must complete the attached form and submit with payment by 7th August 2009. All applications will be considered by the Committee. Applicants will be advised of the outcome as soon as possible thereafter. Only applications with payment will be considered; a full refund will be issued for any application not approved. Hunter's Garden Marlborough reserves the right to refuse any application for a fete site. Applicants should keep in mind that we endeavour to preserve Hunter's Garden Marlborough Garden Fete as a market principally for the sale and promotion of quality goods and services of a gardening nature: from the garden, for the garden, used in the garden, etc. and preference is always given to these vendors. It is not permitted for stallholders to advertise or promote sponsorship of other parties other than our main Sponsors. Non complying stall holders will be asked to remove the advertising or remove the stall from the Fete. The Sites: Allocation of sites within the confines of the fete is entirely at the discretion of Hunter's Garden Marlborough organising committee. Sites do not include any fittings or fixtures (Contact Hirepool see below). Sites may be on grass or bitumen so if a tent/marquee is part of your site plan, please consider your options for securing it to the ground. The size of each site is finite and no projections, overhangs, tow bars or other hindrances to adjacent sites will be allowed. Hirepool: If you need to hire trestles, chairs or other items to outfit your site, contact HIREPOOL on (03) 578 1111. They provide an excellent, competitively priced hire service including delivery and removal on the day. Power/Electricity: The supply of, or access to, electricity is not included in our agreement to provide applicants with a site. However there are a limited number of access points throughout the fete venue so if you require electricity to your site and cannot make private arrangements, please indicate on your application. An additional charge of $20 will apply and payment should be included with your application. We ask that you take advantage for the use of power sites in preference to noisy generators. Generators are not be permitted without prior consent from council. Payment: Payment for the requested site is due with application. Applications without payment will not be considered. Cancellations & Refunds: Cancellations received after 5pm 16 October will not attract a refund unless the organisers are able to re-sell the site. Weather: The Hunter's Garden Marlborough Garden Fete is an all-weather event and will proceed regardless of weather conditions. Requests for refunds due to adverse weather will not be considered. Vehicular Access: Access to Seymour Square will be permitted from 7am on Fete day and installation and set up should be completed by 9:30am. Vehicular access into Seymour Square will be limited and we suggest you arrive early (not later than 7:30am) if you need to unload from a vehicle. No vehicle will be permitted in the Square after 9am. No heavy vehicles will be permitted access to Seymour Square gardens at any time. Parking of vehicles will not be permitted on Alfred Street next to the Square. Blenheim School have parking for a fee of $3.00. Nativity Church car park is strictly for their parishioners. Rubbish Removal: All applicants agree to maintain their site in a clean and tidy condition throughout the fete, and to take away from Seymour Square at the close of the fete all rubbish generated at and/or by their site. Your cooperation is greatly appreciated. All applications received will be acknowledged in writing including a receipt for monies paid, and a plan of site allocation mailed to applicants before the end of October. Food Stall Holders Contact Marlborough District council to obtain a food licence for your stall at the Fete. The definition of food is anything that can be eaten or drunk. Food stalls not obtaining and having this licence for inspection will not be permitted to sell their products. Conditions for the Use of Seymour Square In the interests of all users of Council's parks and reserves, the approval of your application is subject to the following conditions: 1. Council requires the area is left clean and tidy following your activities. All rubbish generated from the activity on the park is to be removed by the user within 2 hours of the event concluding. Failure to do so may incur a charge for any rubbish removal. 2. No entering on to or damaging of garden beds is permitted. 3. No use of the garden beds to secure structures or for part of static displays is permitted. 4. No stakes or tent peg longer than 200 mm are to be driven into the ground. 5. All machinery displays are to be static and no motorised equipment is to be used the park without specific approval of Council. 6. No heavy machinery, trucks or trailers are allowed within the Square 7. All machinery must be mounted over drip trays to catch fuel and fluids. 8. Containment sheets or sand filled bases are to be used under all BBQ's or heated areas and under displays that use treated construction materials as part of the display. 9. No generators are to be used without prior consent of Council, and must have a catch pan for oils and petrol spillage. 10. No trenching for cables and hoses or holes of any sort is permitted in the gardens or turf. 11. All food stalls are to be licensed by Marlborough District Council, phone 03-578 5249. There is a charge for this license. 12. Users are to ensure that no damage is done to any fences, plants, pathways, lawn or other facilities within the square. Any damage is to be reported to event organisers immediately and reimbursement may be sought for any costs incurred for repairs. 13. All Commercial users of electrical power provided by Council are to be charged a $20 fee, payable to event organisers, to cover power charges and certification of electrical system prior to the event. 14. All user groups or spectators using or entering the square do so at their own risk. All reasonable care, effort and proper arrangements are to be made to ensure that any potential hazard are avoided or eliminated. |
